1. Who we are

GEC Power Limited is the controller responsible for the personal information it collects and uses for its own enquiries, quotes and services. This policy covers our website and our communications with prospective and existing customers.

For privacy questions or requests, email info@gecpower.co.uk, call 0191 429 0901, or write to GEC Power Limited, Unit 22A Airport Industrial Estate, Kingston Park, Newcastle upon Tyne, NE3 2EF. Please mark your message “Privacy”.

2. Information we collect

  • Enquiries: your first and last name, email address, phone number, postcode, service of interest, message and the date your enquiry is received.
  • Quotes and installations: information you provide about your property, energy use, existing equipment and proposed work, plus correspondence, surveys, photographs or documents relevant to your project.
  • Service and complaint records: details you give us about appointments, completed work, warranties, aftercare and complaints.
  • Website information: technical information, such as an IP address, browser details and request logs, may be processed by our hosting, security and embedded-content providers when your browser connects to them.

We obtain information directly from you through forms, calls, emails and project communications. If someone contacts us on your behalf, they should have authority to share your details. Public customer reviews displayed on the site come from Google or review excerpts.

The enquiry form marks required fields. Without the contact and project details needed to deal with a request, we may be unable to respond or prepare a quote. Please do not include payment-card details, identity documents, medical information or other sensitive information in a website message.

The form’s contact checkbox concerns your enquiry; it is not a subscription to unrelated marketing. We do not use the website enquiry form to make automated decisions with legal or similarly significant effects on you.

4. Who we share information with

Information is shared where needed to handle your request, provide services or meet legal obligations, including with:

  • Staff and relevant installers or service partners working on your project.
  • Website hosting, database and email providers that support the site and our communications.
  • FormSubmit: the site saves your enquiry in its database and sends its contents through FormSubmit to our enquiry inbox. If email delivery needs a retry, your browser may send the enquiry to FormSubmit directly. See FormSubmit’s privacy information.
  • Professional advisers, insurers, certification or warranty organisations, and public authorities, where relevant to your work or legally required.
  • A finance provider where you ask to explore finance, as explained below.

We limit sharing to information relevant to the purpose. External services have their own privacy information explaining how they handle data within their responsibilities.

5. Finance enquiries

GEC Power Limited is an Introducer Appointed Representative of Hometree Finance, a trading name of HTG Finance Limited. If you ask about finance, we may use your contact and project details to help arrange an introduction or provide an application link.

The website enquiry form is not a credit application. Hometree is responsible for its finance application, credit and affordability assessments, agreement and payment administration, and provides its own privacy information. Review Hometree’s privacy policy before submitting a finance application. Contact hello@hometreefinance.co.uk or visit Hometree Finance for its current privacy notice and finance data enquiries.

6. Cookies and third-party content

The website’s enquiry form does not require an account. The website code does not currently include advertising pixels or a standalone analytics service. Hosting and security services may process technical information needed to deliver and protect the site.

Some service pages embed YouTube videos using its privacy-enhanced domain, youtube-nocookie.com. Loading or interacting with an embedded video connects your browser to Google/YouTube, which may process technical information and use browser storage or cookies. Privacy-enhanced mode does not mean that no data is shared. See Google’s privacy policy.

Links to Google reviews, finance providers and other websites take you to services with their own privacy and cookie arrangements. You can manage cookies and website data in your browser settings; blocking them may affect third-party features.

7. How long we keep information

We keep personal information only for as long as it is needed for the purpose for which it was collected. The period depends on whether an enquiry is ongoing, whether work follows, and any accounting, certification, warranty, complaint or legal requirements.

When deciding retention, we consider the project and relationship, the need to resolve queries or claims, applicable legal time limits and whether the information can be deleted or anonymised. Records needed for a live complaint, dispute or legal duty may need to be kept longer. Contact us for retention information about your particular records.

8. Security and overseas processing

We use access controls and technical measures appropriate to the information involved. Website enquiries are transmitted over HTTPS and stored within the site’s hosted database and enquiry email systems. No online transmission or storage system can be guaranteed completely secure.

Some technology providers operate internationally, so information may be processed outside the UK. Where UK data protection law requires safeguards for a restricted transfer, those safeguards must be in place, such as an applicable adequacy arrangement or approved contractual protections. Contact us for information about the providers and safeguards relevant to your data.

9. Your rights

Depending on the circumstances and legal basis, you can ask to access your information, correct inaccuracies, erase it, restrict its use, receive certain information in a portable format or object to processing based on legitimate interests. You can object to direct marketing at any time.

Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing. Rights are subject to legal conditions; for example, some records may need to be retained to meet a legal obligation or deal with a claim.

Send requests to info@gecpower.co.uk. We may need to check your identity before releasing information. We will explain how your request is being handled and respond within the time required by law.

10. Questions and complaints

Please contact us using the details above if you are unhappy with how we use your information. You also have the right to complain to the Information Commissioner’s Office, the UK data protection regulator. Visit ico.org.uk/make-a-complaint for current contact details and guidance. You do not have to complain to us first.

For installation, product, service or finance complaints, see our complaints policy.

11. Changes to this policy

We may update this policy when our services, website or data handling change. The date at the top shows the latest revision. Where a change requires a separate notice or permission, we will provide it as required.
